Expression of Interest - Event Hub Partnership 2019
The Harvest Festival program is designed to encourage attendees to follow an event trail encouraging visitation at multiple local farms and food hubs, family activities and event hubs. The festival delivered community partnership events, open farms and commercial events to provide a diverse festival calendar. Despite the unfavourable weather the Harvest Festival Central Coast 2018 delivered 26 event hubs over a two day period in June 2018 attracting 16,100 attendees.
- 98% attendees were satisfied with the event.
- 29% of respondents were from out of region.
- 2% of respondents were from interstate or from overseas.
- 69% of attendees visited one or more event hubs throughout the region.
- 11% of visitors stayed overnight in the region.
- 65% were first timers at Harvest Festival 2018.
- Overall attendees suggested they will be returning again next year.
- Increase in yearly regional visitation with 15% of attendees have returned to the area since Harvest Festival 2017

An expression of interest for event participation is now open for eligible businesses, companies, community groups or organisations that propose an event or event concept that satisfies the requirements of the Festival. The Festival is looking to support a range of unique events and activities that provide the community and visitors with a diverse Festival calendar.
Event Hub Applications

Council is calling for EOI’s for event participation in the Festival. This could be as simple as open farm gate sales to major events, music events, art installations, or community events.
The Event Hubs are to be held in the Mountains and Valleys at one of the below Event Hub locations during the festival dates:
- Hub 1 – Calga
- Hub 2 – Somersby
- Hub 3 – Peats Ridge
- Hub 4 – Mangrove Mountain
- Hub 5 – Kulnura
- Hub 6 – Yarramalong
- Hub 7 – Dooralong
- Hub 8 - Jilliby
Types of Event Hubs that will be considered?
Events are assessed by a committee on their potential to involve the local and larger communities at each event. Events must incorporate the land/local produce or farming by their location or theme.
Examples of how you might be involved are (but not limited to):
- Open farm gate sales
- Ticketed Farm Tours/Talks
- Pick your own produce
- Historical Tours and talks
- Indigenous Cultural experiences/bush tucker tours
- Art events / Installations
- Live music events
- Family fun events
- Cooking demonstrations
- Food experiences with local produce
- Obstacle Course Races / Fun Runs
Do you have a great idea, but unsure how to get it off the ground?
Council will be able to market the entire festival program and support the community with event, traffic and crowd management logistics and approvals where required.
Council will also support and investigate sponsorship opportunities to ensure the Festival keeps within our sustainable event funding model.

Conditions of being involved with the Harvest Festival
- Council and the Harvest Festival Central Coast must be acknowledged in all promotional material and the Festival logo along with Council’s logo must be included in all print material.
- Promotional material is to be approved by Council prior to publication.
- In addition Central Coast Council reserves the right to receive the following:
- Joint media release opportunities
- Opportunity for Mayor or delegate to speak at one occasion e.g. (opening)
- Space at event (e.g. marquee)
- Event hubs must supply evidence of $20mil public liability insurance.
- Event hubs must supply evidence of a full risk management plan.
- Event hubs must supply adequate toilets and waste disposable for patrons visiting private property/land.
- Event hubs are to provide access to food and drink options on their site whether this be through food trucks or other means.
- Event hubs may need to lodge a Development Application.
- Events are to be held at one of the designated Event Hubs within the Festival timeframe.
- Applicants must be able to demonstrate an extensive community involvement.
- Applicants can obtain funding from external sponsors/partnership funding programs for their individual Event Hubs – ensuring it does not conflict with the Festival major sponsors.
- Applicants must demonstrate to Council that their organisation is able to effectively manage and deliver the proposed event.
- Eligible applications will be evaluated by an internal panel. The assessment panel may seek further information or clarification on aspects of the application.
- Applicants will be notified within 4 weeks of application closing date of the outcome of their application.
- Successful applicants will be contacted by Council to arrange a meeting to sign an Event Hub partnership agreement.
A comprehensive event report is a condition of event hub partnership as it is a critical part in evaluating the event outcomes against the original proposal. Successful applicants will be required to collect specific attendance data during the period of the festival and calculate the economic and social impacts of the event.
A report template will be provided. The deadline for the provision of an event report is no later than one (1) month following the conclusion of the event.
